  • Responsibilities

    • Non-Project specific "Bulk" Item Ordering; Crib Maintenance 
    • Coordinate and order, submitting requisitions,and interfacing with all vendors with business at the Greenfield Labs campus.
    • Invoice and cost responsibilities.
    • Project specific ordering by VISA, PO and Check Requests.
    • Monitor central email account.
    • SPOC for Food Service – Aramark/Bon Appetit, Review invoices and spending. Review and edit product par levels to balance customer-budget.
    • Office supplies – order bulk items for Greenfield Labs staff – all paper, plus misc
    • Departmental GPIRS shippers.
    • Prepare and complete all Shippers for Building Services. Also, backup employee for HazMat shippers. USDOT trained.
    • Coordinating and updating as needed the suite of web sites for Greenfield Labs 'Building Services'.
    • Designated 'owner' of the dept W-drive shared area. This includes programming SharePoint pages, gathering information from department for additions/deletions/changes
    • Asset Tracking.
    • Contact person for Property Accounting within R&A (Palo Alto only).
    • Help with annual verification of assets (Palo Alto only).
    • Meeting minutes, scheduling, documents, etc. for R&A Safety Committee, Crib User's Committee, Building Services Meetings with key customers (as needed)
    • Monthly review of VISA purchases, billings and payments for Building Services reconciliation.
    • Prepare monthly statement reconciliations via TER system, to FM procedures/policies
    • Quarterly review and change request for NetBadge, GFL card access control.
    • Weekly supply checks of cribs, supply closets, etc.
    • Support regular safety walks
    • Assist for Greenfield Labs Special Events, e.g. "Technology Show", Board of Directors Meeting/s, V.I.P. visits.
    • Prepare for annual MCRP Audits, for card access, key control, etc. – as required. Interface with our client as needed.
    • Support IC during emergencies, act as member of GFL evacuation team. Coordinate DRIM & SPOC for GIS

     

     

     

    Qualifications

     

    • Experience with the Access/Excel database systems.
    • VISA-FAB accounting and reconciliation.
    • Ability to multi-task & take direction from multiple sources.
    • Knowledge of MS-Office
    • Experience and/or the ability to learn the VISA/FAB/TER system, MS-Office, and other related client software (CPARS, GPIRS).
    • The ability to work well with others, as a team member in the service field of Building Services, and the ability to follow through on orders from various bosses and employee's with a good attitude.
    • Ability to perform under stressful work situations.
    • Ability to prioritize tasks.

     

    Preferred Qualifications

     

    • SharePoint awareness, including basic page setup

     

    Education 

     

    • High School with documented training in MS-Office

     

    Preferred Education

     

    • Associates (in Business)
