Provide general administrative support for Digital Services.


Responsibilities include, but are not limited to:

  • Calendar/Mtgs/Email/Travel
  • Provide coordination and administrative support to the Directors of Digital Services and the wider team
  • Coordinate internal/external meeting itineraries, schedules and calendars, resolving conflicts in a timely and efficient manner. Coordination
  • Coordinate all Digital Services projects and schedules and maintain key events calendar
  • Administrative Coordination for budgets: travel, office supply, and metrics reporting Budget Assistance
  • Coordinate Travel Expense Reports & CPARS requests.
  • Ensure timely approval of all requests. Effective Office Management
  • Responsible for office organization including: office filing systems, incoming/outgoing mail, effectively handling e-mail correspondence and voicemail (monitoring for urgent e-mails/messages), copying, faxing, etc.
  • Handle department correspondence, letters, emails and requests for information. Prepare letters for VP’s signature.



  • 3-5 Years of related experience as a coordinator dealing with senior leadership (E.g. Director, Executive Director, VP)


Skills Preferred:

  • Detail oriented - demonstrated capability and experience in project tracking, gathering, analyzing and tracking data (including confidential financial data)
  • Proven ability to work independently, proactively and efficiently; help develop guidelines and procedures to ensure effective operations across Digital Services
  • Outstanding organizational skills, as well as strong verbal and written communication skills
  • Highly proficient in Microsoft Office Suite: Office, Word, Excel, PowerPoint, SharePoint
  • Experience using/creating SharePoint sites
  • Adaptability to a rapidly changing environment and rapidly growing global team
  • Significant experience working with Senior level managers and their administrative assistants
  • Ability to work across multiple tasks simultaneously


Education Required:

BA or Associates Degree in Business Administration preferred
